The Buyer’s Agent Transaction Coordinator (TC) is responsible for managing the documentation, timeline, and communication involved in residential purchase transactions. This role supports the Buyer’s Agent by overseeing the contract process, ensuring deadlines are met, and coordinating between all parties involved to guarantee a smooth transaction from offer acceptance to closing.

The Listing Agent Transaction Coordinator (TC) manages all listing-side paperwork, timelines, and communications from offer acceptance through closing. This role ensures a seamless transaction process by tracking deadlines, preparing required documents, and coordinating with buyers, escrow, and other parties.

Need support beyond transaction coordination? Claudia offers co-agent services for agents requiring additional assistance. As a licensed Realtor, she can legally split the compensation in a transaction to provide comprehensive support. While adhering strictly to real estate regulations and maintaining compliance, Claudia can assist with all paperwork duties and real estate activities within a transaction, ensuring a smooth and successful process from start to finish.
Transaction Coordinator Only-Duties:
Receive and Review Contract and documentation
Input the file into the Transaction Management program
Open escrow, including giving as much information to escrow as possible
Send contract to the lender with escrow, title and Homeowners Association Information
Set up calendar for contingency removals and close date
Manage the file in the Broker Transaction Management Program by processing all paperwork for the real estate broker file using a guideline of what the broker requires
Communicating with the agent the status of the file
Let Escrow know of any credits agreed to in the transaction
Follow up on escrow status (make sure grant deed in and escrow instructions in and signed, follow up HOA docs, and title sign off)
Following up on contingencies and contingency removals
Ordering Natural Hazard Zone report
Ordering Home Warranty
Following Up on all paperwork for the file to complete the file
Turning in the file in for Broker Review
Check in with escrow for closing to make sure all items in escrow
Follows up on funding and recording of the loan with escrow
Additional Duties - Personal Assistant:
Setting up appointments for inspections
Setting up appointments for appraisals
Client contact
These duties can be done at an upfront fee non-refundable.
TC only duties will never be responsible for:
Reviewing Draft Escrow Instructions
Negotiating repairs
Negotiating any part of the contract
Co-Agent Services: :
For agents needing support beyond transaction coordination, Claudia offers co-agent services. As a licensed Realtor, she can legally split compensation in a transaction, assisting with all paperwork duties and any additional real estate activities required. This service ensures agents receive comprehensive support without compromising on real estate compliance regulations.
Must sign an Agent Commission Sharing Agreement - C.A.R Form ACS at the time of acceptance.
